Step 1: Notify Your Clinics
Before scheduling your shipment, contact both the current clinic (where your reproductive materials are stored) and the receiving clinic (where they will be shipped). Let them know you are planning a transfer so they can assist with the necessary paperwork and preparations.
Step 2: Complete Required Paperwork
Proper documentation is essential to ensure a smooth and timely shipment. There are two types of paperwork involved:
- Clinic Documentation: Your current clinic will require paperwork to release your reproductive materials. This may include medical records, details about the sample, and a freeze/thaw protocol for the receiving clinic.
- Transportation Documentation: Cryoport Systems provides all necessary shipping and transportation documents to ensure compliance and a seamless transfer.
Ensure that both clinics have completed all required paperwork before scheduling your shipment.
Step 3: Request a Quote and Place Your Order
Once your clinic documentation is in order:
- Request a quote online.
- Cryoport Systems will provide a formal quote and an order form.
- Complete the order form and return it to Cryoport Systems to begin the shipping process.
Step 4: Coordinating Your Shipment
After your order is confirmed, we take care of the rest:
- Cryoport Systems works directly with both clinics to arrange shipment logistics.
- A cryogenic dry shipper will be delivered to your current clinic, pre-labeled and ready for use.
- The clinic will carefully load your reproductive materials into the shipper.
- Either the clinic or Cryoport Systems will arrange for the package to be collected and transported.
Step 5: Continuous Monitoring & Delivery Updates
Throughout the journey, Cryoport Systems provides continuous shipment monitoring for peace of mind:
- Our advanced tracking technology monitors both location and temperature at every stage.
- Email notifications will be sent to both clinics and the patient, so you always know the status of your shipment.
